Privacy Policy

New Mind Hypnotherapy LLC ("New Mind," "we," "us") respects your privacy. This policy explains what information we collect through our hypnotherapy programs and sessions, the New Mind mobile app, our client portal, our online course and our websites (together, the "Services"), how we use it, and the choices you have.
1. Who we are

2. Information we collect
Information you give us. Your name, email address, phone number and, if you provide it, mailing address; your login credentials; messages you send us; answers to forms; appointment details; and feedback.
Client and session information. If you book an introductory appointment or join one of our hypnotherapy programs, we collect your intake form and signed client agreement; what you share about your goals, history and emotional wellbeing; notes your hypnotherapist keeps about your sessions and progress; and your appointment history.
Payment and financing information. Payments are handled by our payment processors (such as Stripe and Helcim). We receive a confirmation, the amount, payment-plan status and limited card details such as the last four digits. We do not store full card numbers. If you apply for third-party financing, you give your application details directly to the financing provider, which shares your approval and payment status with us. That provider's privacy policy governs the information you give it.
Information collected automatically in the app. Device type, operating system, app version, a push-notification token, crash and diagnostic data, login times, and your course progress (such as lessons opened and completed).
Information collected automatically on our websites. Cookies and similar technologies, including the Meta Pixel and Google Tag Manager, collect your IP address, browser type, pages visited and the ad or link that brought you to us.
Information from others. Advertising platforms (for example, when you submit a Meta lead form) and people who refer you to us.
3. How we use information
To provide our hypnotherapy sessions and programs, prepare for your sessions and follow your progress
To create and manage your account and give you access to course content on its release schedule
To schedule appointments and send reminders
To process payments and manage payment plans and financing
To answer your questions and provide support
To send service messages and, with your consent, marketing emails and text messages
To understand how the Services are used and improve them
To measure and improve our advertising on our websites
To protect the security of the Services, prevent fraud and comply with the law
The app does not show ads and does not track you across other companies' apps or websites for advertising.
4. Confidentiality of your sessions
We treat what you share in sessions, intake forms and messages as confidential. Only your hypnotherapist and the team members who need it for scheduling, billing or support can access it. We never sell it or use it for advertising, and we never use session information to target ads to you.
We do not record sessions, in person or over Zoom, without your consent. Sessions held over Zoom are also subject to Zoom's privacy policy.
We share session information outside New Mind only:
with your written consent;
when required by law, subpoena or court order;
when we believe disclosure is necessary to prevent serious and imminent harm to you or someone else; or
to report suspected abuse or neglect of a child or vulnerable adult when the law requires it.
New Mind provides hypnotherapy and personal-growth services. We are not a medical provider and not a HIPAA covered entity, but we treat your information with the confidentiality you would expect from a therapist.
5. How we share information
We do not sell or rent your personal information. Beyond the limits in section 4, we share it only as follows:
Service providers who operate the Services for us under confidentiality obligations, including our CRM and app platform (HighLevel/LeadConnector), payment processors (Stripe, Helcim), video and scheduling tools (Zoom, Google), email and text-message delivery providers, and our marketing agency. Our marketing agency does not receive session or intake information.
Financing providers, if you choose to apply for financing, to process your application and payments.
Advertising platforms (Meta, Google) receive website activity data through cookies and pixels so we can measure our ads. They do not receive data from the app or anything you share in sessions, intake forms or messages.
Sponsors. If a donor sponsors part of your program, we do not share your name or details with that donor without your consent.
Legal reasons, when required by law or to protect the rights, safety or property of New Mind, our clients or others.
Business transfers, if New Mind is involved in a merger, acquisition or sale of assets. Any successor must honor this policy.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text-messaging opt-in data and consent will not be shared with any third parties.
6. Text messages and email
If you opt in to text messages, message frequency varies and message and data rates may apply. Reply STOP to opt out or HELP for help. Consent to marketing messages is not a condition of any purchase. You can unsubscribe from marketing emails with the link in any email.
7. Push notifications
The app may send notifications, such as when a new lesson opens or an appointment is coming up. You can turn them off anytime in your device settings.
8. How long we keep information
We keep account and course information while your account is active and as long as needed to provide the Services. We keep client records, including intake forms, signed agreements and session notes, for up to seven years after your last session, and purchase and tax records for up to seven years, as the law requires. When you ask us to delete your account, we delete or de-identify everything else within 30 days, except information needed to resolve disputes or prevent fraud. Backups are overwritten on a regular cycle.
9. Security
We use reasonable administrative, technical and physical safeguards to protect your information. No system is completely secure, so we cannot guarantee absolute security.
10. Your choices and rights
You may ask to access, correct or delete your personal information, including a copy of your client records, or to stop marketing messages, by emailing support@newmindhypnotherapy.com. We will verify your identity and respond within 30 days. Residents of some states have additional privacy rights; we honor these requests wherever you live. You can also control cookies through your browser settings and your ad preferences on Meta and Google.
11. Deleting your account
You can request deletion of your account and its data at any time. Instructions, including what is deleted and what we keep, are on our Support page at www.newmindhypnotherapy.com/support.
12. Clients under 18
The app and course are intended for adults 18 and older. Clients under 18 may receive our services only with the consent of a parent or guardian, who may access the client's information unless the law provides otherwise. The Services are not directed to children under 13, and we do not knowingly collect their information online. If we learn we have, we will delete it.
13. Changes to this policy
We may update this policy. We will post the new version here with a new effective date and, for material changes, notify you in the app or by email.
